On behalf of the Madison County Purchasing Agent, we invite you to register in the Madison County supplier portal. Doing so will open the door to doing business with Madison County and will fulfill the requirement for payment upon receipt of goods and/or services. By registering, you will automatically receive bid notifications based on the commodity codes that are selected by your company and attached to the supplier record during the registration process. Please see the presentation below for information on how to register in the Madison County supplier portal.
Reminder: We require a signed copy of your W-9 for payments; the Diversity Codes for meeting certain requirements on work should they be requested; and the Commodity Codes for selecting which businesses to solicit for specific bids or events that we have available through the County. Suppliers and provided this access will be able to do the following:
- Be notified of sourcing events electronically by providing the necessary email contact information
Important Information Before You Register
During the registration process you are required to provide the following information:
- Completed W9: This is a required document. You will need to attach this completed document during registration
- Tax Identification Number (TIN) or Employee Identification Number (EIN)
- Contact information such as name, company mailing address, title, email address (to receive
electronic notifications), phone number, etc.
Definition of a Bidder
The County of Madison's Bidders are potential suppliers which have access to view the Invitations for Bid, Requests for Proposal, and other procurement events. You must be registered in order to place a bid.
Definition of a Supplier
Madison County Suppliers have an existing agreement (contract, awarded bid, etc.) between their
company and the County. Suppliers have all of the same access to place bid offers on events that Bidders do. They also are able to maintain company information electronically on their Supplier profile, and see details of their contractual agreement with the County.
